Mail Advanced Configuration

Unwanted or Suspicious Emails

As any other mail service, you can report unwanted emails as spam. Emails you report as spam are added to Spam folder. As you report more spam, the client identifies similar emails as spam more efficiently.

The option to mark a message as Spam is available on webmail, and on third clients, you can move it to the Spam folder.

warning

When you report spam or move an email into Spam, we receive a copy of the email and may analyze it to help protect the team from spam and abuse.

You can also block any address from the settings page, or from a recent message if they sent you an email. When you block a sender, even when you remove their emails from Spam, we still automatically identifies their emails as spam.

If you automatically send emails from people you know to Spam, you can:

  • Remove the email from Spam: After you remove the email, future emails from that sender won’t go to Spam.
  • Add the sender to your contacts: When you add the sender to Google Contacts, Gmail stops sending their messages to Spam. Learn how to add, move, or import contacts.
  • Create a filter: For specific senders, you can create a filter to label their email as important or another option that you choose. Learn how to create rules to filter your emails.

Blocking External Domains

If you want, you can prevent addresses outside the organization from sending you emails. This would only allow messages from *@bbjprojek.org, and additionally from *@ragyxo.com.

As additional options, you can whitelist domains. For example, you can whitelist @gmail.com, or any other known and trusted domains.

Creating Labels to Organize

You can create labels that store your emails. Add as many labels as you want to an email. To create a label just get to the settings, scroll down, then click More. Click Create new label.

You can also choose whether or not your labels show up in the Menu list to the left of your inbox.

note

Labels are different from folders. If you delete a message, it will be erased from every label that it’s attached to and your entire inbox.

warning

There is a 500 labels limit for each account.

Refine Searches

You can use words or symbols called search operators to filter your search results. You can also combine operators to filter your results even more. This operator are the same ones used in Gmail, so you might be familiarized with them
